Event Sales Coordinator (Full-time)

Responsible for selling services The Community House offers to existing or potential clients and sponsored groups within the Event Sales and Hospitality Department.  Responsible for preparing all event documentation and coordinating Hospitality, Facilities, and client to ensure consistent, high-level service throughout pre-event, event and post-event phases.

Responsibility

• Assists clients through the planning process of food and beverage selections, timelines, event details and logistics along with room layout.
• Prepares BEO contracts for social, corporate, and special events as directed by Senior Event Sales and Services Management Team.
• Books and prepares BEO contracts for all In-House and Sponsored Group Meetings.
• Conducts walk-in and scheduled site tours.
• Greets clients on event date and works with service/culinary teams to ensure event success.
• Maintains existing clients by contacting them to rebook their regularly scheduled event/s.
• Develops and maintains good communication with all Hospitality and Facilities staff to cover details for all contracts.
• Provides excellent customer service consistent with the expected service standards as outlined by the department and company.
• Participates in department team decision making process.
• Follows up on past due accounts when necessary.
• Performs other related duties as assigned.

Qualifications

• Bachelor’s degree preferred with emphasis in hospitality.
• Some administrative or clerical experience required.
• Energetic and friendly personality.
• Excellent listening, verbal and written communication skills required; able to express oneself in an articulate and effective manner in person, over the phone and through correspondence.
• Excellent organization and planning skills with exceptional attention to detail.
• Self-starter; able to work with minimal supervision.
• Ability to sell the services of The Community House.
• Ability to work as part of the entire Hospitality team.
• Desire and ability to meet new people.
• Ability to provide exceptional customer service.
• Able to handle numerous events simultaneously while maintaining a pleasant, receptive, and calm demeanor.
• Ability to work under pressure and meet required deadlines.
• Able to deal with problematic individuals and resolve situations that could have resulted in dissatisfied and irate customers.
• Basic financial background with ability to write and compute contracts.
• Proficient in Microsoft Office Suite and catering management software such as Caterease and All Seated or equivalent operating software.

Work Schedule

• Works a flexible schedule to include weekends and evenings on a regular basis.
